Setting up your workspace
A first-run checklist for admins — from workspace rules to your employees' first clock-in.
New workspace? Start with the in-app Getting started checklist, then finish the optional setup that matches how your business tracks time.
1. Finish the Getting started checklist
Only the owner sees Getting started. It has three setup steps:
- Your details - save your name, business name, time zone, country, and state or region when required.
- Employees - press Invite employees so employees can create accounts and start clocking in.
- Payment method - press Add payment method before the trial ends, or Open Billing if a card is already on file.
The checklist shows Clockspot is ready to use after those three basics are complete.
2. Set your time tracking rules
Before the first pay period closes, review Time Tracking Settings. Use Work Schedule for the Workweek start day, Overtime for overtime rules, and Timesheet for Round clock times.
Use Company for the workspace name, time zone, and address details that appear across the account.
3. Complete employee setup
Invite people on Employees. For each person you can set a role (Employee or Admin), then set their pay on Compensation with the pay type, hourly rate when applicable, pay schedule, exemption status, and effective date that Payroll Summary needs later.
4. Set up what they clock against
- If you track time by project or client, create your Jobs.
- If you want to limit where people clock in, define your Clock locations.
- To capture anything extra on a shift or a person, add Custom fields.
5. Choose how people clock in
Employees can clock on their own device out of the box. For shared sites, set up a kiosk; for the field, set up phone clocking.
6. Set up time off
Define your time off types and how each one accrues — how accruals work explains the methods.
7. Decide how timesheets get approved
Review how approvals work and how employees submit their timesheets, so everyone knows the routine before the first pay period closes.
Common questions
- What's the minimum to get my employees clocking in today?
Finish Your details, invite employees, and add a payment method before the trial ends. Jobs, clock locations, compensation, time off, and approval rules can be filled in after employees start clocking.
- Do employees need to be set up before they can clock in?
They just need to accept their invite. Role changes, profile details, and pay can be filled in any time.
- When should I set the workweek and overtime rules?
Set them before you close the first pay period, so reports and approvals use the rules you expect.
