Approval-first export
Employees keep using the Clockspot time clock. Managers correct and approve the source timesheets before the QuickBooks export begins.
Clockspot stops when someone is still clocked in, a timesheet is unapproved, or a required QuickBooks destination is missing.
Match Clockspot employees to QuickBooks employees or contractors once, then keep those choices for the next reviewed period.
Export preview
Choose the exact pay period and inspect what is new, changed, already current, or ready to remove. If the approved time changed or someone edited the record in QuickBooks, Clockspot asks for a fresh review instead of overwriting it silently.

QuickBooks Time Activities
Clockspot divides approved paid time using your overtime rules and sends each category to the QuickBooks pay type matched for that employee. Unpaid time off is not sent.
Service item
General Labor
Every exported Time Activity carries the QuickBooks person you matched and the required service item that describes the work.
Add an optional customer, Class, QuickBooks Location, billable and taxable choices, and a description. Apply the same choices company-wide or set them by Clockspot job.
Export history
Automatic export is optional and applies only to approvals completed after you turn it on. Clockspot waits until every worked timesheet is approved, every time entry is closed, and every required QuickBooks match is ready. If a removal, QuickBooks-side change, or earlier export needs review, Clockspot pauses and notifies administrators.
The sample opens the approved Clockspot timesheets that feed the handoff. Public demo workspaces cannot connect to an Intuit company.

Clockspot sends daily Time Activities for approved paid time. It separates regular time, each configured overtime rate, and paid time off. For QuickBooks employees, each category uses the QuickBooks payroll pay type you matched. Each record also includes the date, duration, matched QuickBooks employee or contractor, and required service item. It can include a customer, Class, QuickBooks Location, billing and tax choices, and a description when configured.

QuickBooks uses its own pay rates and payroll rules to calculate pay, create paychecks, and handle taxes. Clockspot does not create invoices, bills, or payments.
Clockspot keeps the export history and names the recovery action. Retry is offered only for eligible failed rows. Replacing or removing a previously exported record requires a fresh preview and confirmation. The same is true when someone changes the record in QuickBooks.
