Missed punch corrections

Catch a forgotten clock-in or clock-out before payroll.

A forgotten clock-out leaves a shift running for hours. A forgotten clock-in leaves the day missing from the timesheet. Clockspot helps you catch both the same day, and fix them with the time the employee actually worked.

Before it reaches the timesheet

A missed clock-in or clock-out turns up today, not on payday.

After the number of hours you set

Remind an employee to clock out before the hours go wrong

Turn this on and Clockspot messages the employee once their shift has run past a length you choose, anywhere from one hour to a full day. Most people fix it themselves before you ever see it.

While the shift is still running

Hear about a missing clock-in while you can still call them

If you publish schedules, Clockspot alerts you once a shift has started and the employee has not clocked in, while there is still time to call them. The alert goes to your Administrators, not to the person who missed it.

No clock-out yet

See who is still on the clock now, not at the end of the week

A shift with no clock-out stays open, so it shows on the time card and the who-is-working view while it is still running, instead of becoming a strange total once the week closes.

While you decide

See the time they are asking for next to the recorded time.

While a request is open the entry keeps its recorded times, so you always have the original to check the claim against. Approving applies the whole request at once. Rejecting leaves the entry as it was, and the employee can send another.

Two ways a correction gets made

Change the time that is wrong, or add the shift that is missing.

Sent by the employee

The employee sends the time they worked, and the reason why

They pick the entry, propose the in time, out time, job, note or break that should have been recorded, and say why. Only their own entries, and only one open request on an entry at a time.

Add a missing shift so nobody loses a day of pay

Enter the date and the in and out times, and the shift joins the timesheet like any other. Clockspot fills nothing in from a schedule, so the hours are the ones you and the employee agree on.

Someone else on the account decides

A correction always needs someone else to approve it

The person who asks is never the person who decides, so a request cannot be waved through by whoever wrote it. Whoever forgot the punch sends the request, and someone else on the account approves it.

Live corrections demo

Approve the right time on a missing clock-out.

One screen lists every shift still running with nobody clocked out. The other puts the recorded time, the requested time, and the employee’s reason next to each other, so there is nothing left to go and check.

An employee and manager review a missing time entry together

Customer story

Employees tell you the right time before payroll runs.

Everyone can clock in and out and submit an edit request if they forget. At the end of the week, we click a couple of boxes to get payroll.

Common questions

How corrections work, and who decides.

  • The employee supplies the time
  • A manager makes the decision
  • Every change keeps its history
Who gets told when somebody forgets to clock in or out?

They are two different messages. An employee whose shift has run past the length you set is reminded to clock out, so most people fix it themselves. An employee who never clocked in for a scheduled shift is reported to your Administrators instead, while the shift is still running and there is time to call them.

Can an employee change their own hours?

Not on their own. They can propose a change to their own entry with a reason attached, and it stays a proposal until a manager approves it. Nobody can approve a request they submitted themselves, including an Administrator.

What if the timesheet is already approved?

An approved employee request can still update the entry. For a manager to edit it directly, cancel the approval first, make the correction, and approve the period again so the reviewed hours match what is recorded.

Is there a record of what was changed?

Yes. Every correction keeps the value before and after it, who made it, and whether it came from an approved request or a direct edit, on the Timesheet Audit report.

Try Clockspot and catch timesheet mistakes the same day.

The employee sends the right time with the reason they forgot, and you approve it before payday. Nothing on the timesheet changes until you do.
