Employee time tracking for nonprofits
Clockspot is an employee time clock. Staff can select a program when they clock in, and managers can review corrections and approvals before exporting hours for payroll.

Clock-in options
Each employee signs in and chooses the program before clocking in.
A personal PIN, the calling number, and an optional voice check help identify the employee and preserve the clock event.
Choose which employees can use the kiosk. Optional photos add an identity check without blocking the time entry if the camera fails.
One employee record
Clockspot jobs are simple labels for work such as Food Access, Training, or Administration. The selected job stays with each time entry through corrections and approval. It does not replace a grant, fund, budget, or accounting code.

One paid-staff work record
Choose the program
The paid employee selects the program work before clocking in.
Record the shift
Clock-ins, breaks, and the selected job stay with the employee record.
Request a correction
The employee request keeps its reason beside the proposed change.
Approve the hours
The corrected time and edit history remain available after approval.

Nonprofit customer story
“Having time logs and shift reports in one location has helped us tremendously with federal grant reporting requirements.”
Review the workweek
Check program totals, correction history, missing punches, and approvals before exporting employee hours for payroll or reporting.

Program staff qualifications
Track the staff qualifications your organization accepts. Require them for a program role, funded Job, or service Work Site so missing or expired records are visible before the schedule is published.
Apply each requirement to a Work Type, Job, or Work Site. Clockspot combines every rule that matches the shift.
Candidate checks use the shift date, so a record that expires before the work begins does not look current.
Shift history records whether each requirement was satisfied or overridden, along with the accepted record or manager reason.

Where Clockspot fits
Clockspot tracks schedules, clock-ins, corrections, approvals, and employee-time reports. Keep volunteer, donor, grant, accounting, and impact records in the systems you already use.

Common questions
Yes. Set up Food Access, Community Outreach, Youth Programs, Program Administration, or other work areas as Clockspot jobs. The selected job stays with the time entry and appears in the Job Hours report. A Clockspot job is a flat time category, not a grant, fund, budget, or accounting allocation.
Yes. An employee can choose a job when clocking in and switch jobs while still clocked in. Each resulting time segment keeps its selected job for manager review and reporting.
Yes. Employees can record a work trip’s date, distance, purpose, origin, destination, and optional program job or Work Site. Administrators get one reviewable trip history for reimbursement or business-mileage preparation; Clockspot does not automatically track the route.
Clockspot tracks employee time. It does not provide volunteer profiles, service-hour verification, opportunity signup, waiver collection, or volunteer communications. Use a volunteer-management system when those records are required.
No. Clockspot can record paid employee time by job and export reports, but it does not manage awards, restricted funds, allowability, indirect costs, budgets, or compliance. Your organization decides how employee-time records support its grant and accounting processes.
Employees can request corrections with a reason. Managers review entries and approve the pay period, then download CSV, Excel, or PDF reports or use a configured export file. Clockspot prepares employee-time records but does not process payroll or connect those records to a donor, grant, or accounting system.
Invite your paid staff, set up the program labels you need, and review one complete workweek before payroll.
