Employee scheduling software

Build employee schedules, then compare them with the hours worked.

Draft the week, publish it when it is ready, and every employee whose shifts changed hears about it. Each person sees their own shifts and gets a reminder before one starts, and you can require a matching shift before anyone clocks in.

Building the week

Employees see the schedule only after you publish it.

Save shift

Each shift tells the employee the job, the time, and your notes

Time off you have already recorded shows up on the schedule, so you can see who is away before you give anyone a shift.

Copy last week?

This copies last week’s 23 shifts into this week as drafts. Any that would overlap an existing shift are skipped, and nothing is published.

CancelCopy as drafts

Copy last week when the schedule repeats

Last week’s shifts come over as drafts. Anything that would overlap a shift you already made is skipped.

This is a warning only. You can still continue.

See the overtime a shift adds before you publish it

Clockspot adds up the hours you have already scheduled that week and tells you how much overtime one more shift would add, while you can still move it.

After you publish

Once you publish, every employee has the week on their phone.

Clockspot reminds employees before a shift starts

You choose how far ahead the reminder goes out. Clockspot can also prompt someone to clock in when the shift begins, or to clock out once it ends.

You get an alert when nobody clocks in for a shift

Pick how long to wait past the start time. If nobody has clocked in by then, Clockspot tells you, early enough to find someone else.

Customer story

Know who showed up without calling anyone.

By tracking hours and the schedule, I can see exactly when my employees arrive and leave. If they are not on time, I receive an alert so I can find out why.

More ways to cover the week

Fill the schedule and resolve coverage gaps before work starts.

Copy last week or repeat familiar shifts, then use availability checks, employee requests, and Schedule Coverage to finish the week before work begins.

See conflicts and overtime before you assign a shift

Clockspot checks stated availability, qualifications, time off, overlapping shifts, job access, and projected overtime while you can still choose someone else.

Fill open shifts from employee requests

Publish a shift without assigning it. Eligible employees request the work, and you choose who gets it.

See which shifts still need coverage before work starts

Schedule Coverage totals staffed shifts, coverage gaps, awaiting confirmations, and pending requests by day.

Qualification-aware scheduling

Check the requirements for the work—not just whether someone is free.

Track accepted licenses, certifications, training, and checks on employee profiles. Require them for a Work Type, Job, or Work Site, then let Clockspot evaluate every rule that matches the shift date.

  • Use rules that match the work

Apply each requirement to a Work Type, Job, or Work Site. Clockspot combines every rule that matches the shift.

  • Catch missing or expired records early

Candidate checks use the shift date, so a record that expires before the work begins does not look current.

  • Keep each scheduling decision with the shift

Shift history records whether each requirement was satisfied or overridden, along with the accepted record or manager reason.

Before payroll

Find the missed shifts and the unscheduled hours while you can still ask about them.

The Schedule vs Actual report puts each employee’s published shifts beside the time they actually recorded. It shows you the shifts nobody worked and the hours nobody scheduled, while the week is still yours to fix.

Schedule history

See who changed a shift, when, and why.

Change a published shift and Clockspot tells the employees on it. Every update and every cancellation is kept, along with the reason you gave. Open one shift to read its history, or export the whole Schedule Changes report.

Common questions

Questions about employee scheduling.

  • Draft before you publish
  • Notify employees about changes
  • Compare scheduled and worked hours
Can employees see draft shifts?

No. Employees see only their own published shifts. Managers can build, copy, and revise drafts without changing the visible schedule or sending notifications. An Administrator limited to assigned employees sees only those employees in the schedule.

See manager permissions
Can I schedule a shift that runs past midnight?

Yes. An overnight shift’s scheduled hours count on the day it starts, and the hours an employee works count on the calendar day they happen.

Can Clockspot use the schedule to control clock-in?

Yes. You can restrict clock-in to published shifts, choose how early employees may clock in, and decide whether to block an unmatched clock-in. Clock-out is never restricted.

Can an employee have two shifts at the same time?

No. Clockspot refuses a shift that overlaps another one for the same employee, so a double booking never reaches the published schedule. Copying a week skips anything that would overlap rather than stacking it.

Try Clockspot and turn next week’s schedule into payroll-ready hours.

Publish the week to your employees, let Clockspot remind them before a shift starts, and see what they worked against what you scheduled before you run payroll.
