Clock-in choices

Give each home a practical way to record staff time.

Let employees clock in from their own browser.

The employee chooses the house Job. When they share location, the clock event can be checked against your clock-in rules.

Let staff clock in with a phone call.

A personal PIN, the calling number, and an optional voice check help identify the employee and preserve the clock event.

Run a shared PIN clock at the house.

Choose which employees can use the kiosk. Optional photos add an identity check, while camera trouble never blocks the time entry.

Shift change

Compare house schedules with recorded staff hours before payroll.

Publish morning, evening, and overnight shifts, see who is clocked in, and compare the schedule with the time employees record. Clockspot gives the office one account-wide view, so payroll review does not have to be pieced together house by house.

  • Employees can see their published house shifts
  • Managers can review scheduled and recorded hours

Clockspot keeps the planned shift and employee time together. Care notes and resident handoff details stay in the system your team uses for care.

Correction to approval

Fix missed overnight clock-outs before payroll.

Employees can request a missed clock-out correction and explain what happened. Managers review the request and edit history, approve the workweek, and export reviewed hours as CSV, Excel, or PDF. That keeps the exception and its resolution together before payroll, while the employer still decides which sleep or break time is compensable.

Common questions

Get straight answers about residential staff time.

  • Built for employee time records
  • Works across houses and shifts
  • Keeps every correction reviewable
Does Clockspot replace our care-management or EVV system?

No. Keep resident records, care plans, clinical documentation, medications, service delivery, EVV, and healthcare billing in the systems built for them. Clockspot handles employee schedules, time, breaks, corrections, approvals, and payroll reports.

Can staff share a time clock at each house?

Yes. A tablet or computer can run the Clockspot kiosk, and each employee uses a personal PIN. You can choose which employees appear on a particular kiosk without turning that kiosk list into a manager-permission boundary.

Can we keep the house name with each shift?

Yes. Set up houses or programs as Clockspot Jobs. The selected Job stays with the time entry and can be reviewed in job-hours and labor reports. Administrators can review account-wide information across the organization.

How does Clockspot handle overnight shifts and sleep time?

Clockspot records start and end times across midnight, along with any recorded breaks and later corrections. Your organization remains responsible for deciding which sleep, break, or on-duty time is compensable under the rules that apply to the work.

Does Clockspot continuously track employees with GPS?

No. When an employee clocks in or out from their own account and shares location access, Clockspot can record that event location and compare it with recognized clock locations. It does not create a live route or breadcrumb trail.

How do corrected hours reach payroll?

Employees can request a correction with a reason. Managers review the request and approve the workweek, then use payroll reports or a configured export file. Clockspot prepares employee-time records but does not process payroll.
