What a clock location is

A named workplace plus one or more recognition methods that Clockspot can match to a clock event. The supported methods are:

  • Geolocation — a latitude, longitude, and radius (in meters). The device's GPS must report a position inside the radius.
  • IP address — an IP address or network range the device must connect from, such as your office Wi-Fi.
  • Browser — registers the current browser for this location, saving an identifier unique to it.
  • Phone number — a caller ID used for phone clocking, such as a job-site landline.

A single location can combine methods. For example, "Office HQ" can be recognized by either its Wi-Fi IP, its GPS area, or its phone caller ID. Any one matching method records the same location on the clock event.

Phone number methods compare the number the employee calls from, not the shared Clockspot number they dial. You can add them here, but Phone Clocking is the primary place to manage approved numbers and decide whether unmatched callers are refused.

Adding a location

Press Add Location in the page header and name the workplace. Choose a recognition method, enter its details, and press its Add button. Add more methods if needed, then save the location.

How clock events match locations

When an employee clocks in or out, Clockspot checks the available context against your active clock locations. A matching location can then appear on the time entry and related location reports.

If the workspace has Warn employees clocking from unrecognized clock locations enabled in Timesheet Settings from Time Tracking Settings and no clock location matches, clock-ins from an employee's own account show a warning, admins and the owner can be notified, and the entry is highlighted for managers — visible on the Location Compliance report.

Phone clocking has a separate Restrict phone clocking to approved numbers setting. When it is on, both phone clock-in and clock-out are refused unless caller ID matches an active Phone number method.

Archiving

Use Archive (row menu or bulk action) to retire a location. Toggle the Archived view and use Restore to bring it back. Locations can't be deleted — archiving keeps historical entries linked correctly.

Common questions

An employee says they were on-site but their clock-in didn't match.

For Geolocation, the radius may be too tight or the device location may be inaccurate. For IP address, confirm the device is on the expected network. For Browser, confirm the browser is registered for the location.

Where do I see who clocked in here?

Open Clock Activity Map under Timesheets to review individual events on the map. Use Reports for hours, coverage, and per-location summaries.

Can I rename a location?

Yes — use Edit clock location in the row menu. The new name flows through to reports.
