What this page controls

Timesheet Settings controls what employees must enter when recording time, when Clockspot warns about unrecognized clock locations, whether clock-in and clock-out times are rounded, whether published shifts limit when employees can clock in, and whether a missed shift alerts admins and the employee.

Required time-entry details

Use Require job selection when employees should choose an active job before clocking in or out. App and kiosk clocking enforce it only when at least one active job exists; if no active jobs exist, employees can still clock in and out. Phone clocking can enforce job selection only when active jobs have phone codes. The selected job stays on the time entry and appears in job-based reports.

Use Require shift notes when employees should add a note when clocking out from their own account. Kiosk and phone clocking do not require typed shift notes.

Unrecognized clock locations

Use Warn employees clocking from unrecognized clock locations to show a warning before a web clock-in or clock-out continues when no Clock Location matches.

If the employee proceeds, admins and the owner can be notified, and the time entry is highlighted for managers to review. The same entries also appear in the Location Compliance report.

Clock-time rounding

Use Round clock times to choose whether clock-in and clock-out times are rounded to Off, 5 min, 6 min, or 15 min.

Restrict clock-in to scheduled shifts

Turn on Restrict clock-in to scheduled shifts to use shifts you published on the Schedule page to control when employees can clock in. When it is off (the default), clocking in works as usual and nothing here applies.

With it on, an employee can clock in while a shift is underway, or up to the window set by Allow early clock-in before the shift starts. A punch earlier than that is refused, and Clockspot tells the employee the earliest time they can clock in. Clocking in late while the shift is underway is never blocked.

Allow early clock-in sets how far ahead of a shift the window opens: At shift start (no early clock-in), or 5, 10, 15, 30, or 60 minutes early.

Block clock-in without a shift decides what happens when a clock-in does not match a published shift. Leave it on to refuse the clock-in; turn it off to let employees clock in for unscheduled work.

The restriction applies to everyone who clocks in, managers included. It only affects clocking in: clock-out is never restricted, and a manager who needs an off-schedule punch can add or edit the time entry directly.

Missed shift alerts

Turn on Alert on missed shifts to be notified when a shift you published on the Schedule page starts and the employee has not clocked in. When it is off (the default), nothing here applies.

Alert after sets how long past the shift start Clockspot waits before alerting: At shift start, or 5, 10, 15, 30, or 60 minutes after start. When the wait passes with no clock-in, admins get an alert naming the employee and the employee gets a reminder to clock in. The in-app alert is always recorded; each person's notification preferences control the additional email and text delivery.

Each shift alerts at most once, and alerts only fire while the shift is underway, so turning this on never sends alerts about shifts that already ended. Moving an alerted shift to a new time resets it: missing the new time alerts again.

Common questions

Where do I create the jobs employees can select?

Use Jobs to create jobs, projects, clients, or tasks. If no active jobs exist, Clockspot does not block app or kiosk clocking for missing job selection. Phone clocking also skips job selection unless active jobs have phone codes.

Does the location warning stop the clock action?

No. The employee sees the warning and can still proceed. If they do, admins and the owner can be notified, and the time entry is highlighted for managers to review.

Where do I define recognized clock locations?

Use Clock Locations to create locations with geolocation, IP, or device rules.

An employee cannot clock in and I restricted clock-in to scheduled shifts.

They likely have no matching published shift, or they are trying to clock in earlier than the Allow early clock-in window. Publish a shift for them on the Schedule page, widen the early-clock-in window, or turn off Block clock-in without a shift to allow unscheduled clock-ins.

Nobody was alerted about a missed shift.

Check that the shift was published (drafts never alert) and that the Alert after wait had passed while the shift was still underway. Email and text also require the recipient to turn on the Missed Shift event in their notification preferences. No alert fires if the employee has an active time entry overlapping the shift when Clockspot checks, including one opened before the shift that is still running.
