What this page controls
Alerts & Reminders controls when Clockspot creates automatic notifications for this workspace. These settings are shared across the workspace. Each person controls additional Email and SMS delivery for their own account in Notification Preferences.
In-app notifications are always recorded for the people who should receive them.
Clocking reminders
Turn on Remind employees to clock out after a set number of hours to notify an employee once they have been clocked in for the selected number of hours. Remind after offers waits from 1 to 24 hours after clock-in. This reminder does not require a published shift.
Shift reminders and attendance
These settings use shifts published on Schedule:
- Remind employees about upcoming shifts sends a notice 1, 2, 4, 8, 12, or 24 hours before each published shift.
- Remind employees to clock in sends a separate clock-in reminder At shift start, or 5, 10, 15, or 30 minutes before start. Clockspot skips it when the employee is already clocked in.
- Remind employees to clock out after a scheduled shift ends notifies an employee after a published shift ends when they are still clocked in from before the scheduled end. Remind after sets how long Clockspot waits after the shift ends.
- Alert on missed shifts notifies admins when a published shift starts and the employee has not clocked in. Alert after sets the wait from At shift start through 60 minutes after start.
Each shift alerts at most once while it is underway. Moving an alerted shift to a new time resets it, so missing the new time can create another alert.
Timesheet reminders
Turn on Remind employees to submit timesheets to notify employees once when their most recently completed workweek contains recorded time, has no open entry, and is still unsubmitted. Remind after controls how long Clockspot waits after the workweek closes.
Turn on Remind reviewers about submitted timesheets to notify admins and the owner once when a submitted timesheet is still waiting for review. Its Remind after setting starts when the employee submits the timesheet.
Overtime alerts
Overtime alerts use the current rules from Overtime Rules:
- Projected overtime alerts when worked time plus the remaining parts of published shifts is expected to cross a weekly, daily, or seventh-day rule.
- Approaching weekly overtime alerts when worked time enters the selected warning window before a weekly rule. Alert before sets that warning window.
- Entered overtime alerts after worked time crosses any configured rule.
Alerts go to the owner and admins in Clockspot. Hours aggregate across locations for each employee. Time off does not count as worked time. Projected alerts use published shifts. Draft shifts can show an advisory overtime warning on Schedule, but they do not create projected alerts.
Break reminders
Break start and return reminders stay with each break type because their timing belongs to that break policy. Configure them in Breaks & Lunches.
Common questions
- Why did an in-app notification appear after I turned off Email and SMS?
In-app notifications are always on. Notification Preferences controls only the additional Email and SMS delivery for each account.
- Why didn't a missed-shift alert appear?
Check that the shift was published and that the Alert after wait passed while the shift was still underway. Clockspot does not alert if the employee has an active time entry overlapping the shift when it checks.
- Where are break reminders?
Open Breaks & Lunches and edit the break type. Break start and return timing is part of that break policy.
