Employee invite or access problems

Diagnose pending invitations, archived employees, role problems, and separate clocking setup issues.

Find where the employee is stuck

Start on Employees. Check whether the person is already listed, still pending invitation, archived, or using the wrong role.

The fix depends on the state you find.

Invite email did not arrive

Use the pending invitations control in the Employees page header.

  • Confirm the email address is correct.
  • Ask the employee to check spam or junk folders.
  • Use Resend if the address is correct.
  • Use Revoke and send a new invitation if the address is wrong.

Invitations are email-based. The employee should accept the invite from the same address you invited.

Employee accepted but cannot get in

Check the main Employees list and the Archived view.

If the employee is archived, use Restore to give access back. If the employee needs admin access, the owner can use Change role to switch them from Employee to Admin.

If the person is trying to sign in without accepting the invitation first, send them back to the invite email or send a fresh invitation.

Wrong permissions

Clockspot uses three access levels:

  • Employee — clocks in and out, manages their own timesheet, and requests time off.
  • Admin — can manage employees, approvals, reports, and workspace settings.
  • Owner — has owner-only controls such as changing roles, archiving access, billing, and API keys.

Use Roles & access when the issue is what the person can see or change after signing in.

Clocking access is separate

App access is not the same as kiosk or phone clocking setup. If the employee can sign in but cannot use a shared clocking method, check Kiosks or Phone clocking.

Common questions

Can I resend an invitation?

Yes. Open pending invitations from the Employees page header and use Resend for the correct address.

What if the invite went to the wrong email?

Revoke the pending invitation, then send a new invitation to the correct email address.

Why can an employee sign in but not manage others?

They are probably an Employee, not an Admin. The owner can use Change role if that person should manage employees, approvals, reports, or workspace settings.
