Clients bring together the work Clockspot records for a customer, account, or business unit. Use them when you want to review time across several jobs or work sites for the same customer.
Set up a client
Open Settings, choose Clients, and select Add client. Enter the name employees and managers will recognize. Add a code when you use a matching customer code in accounting or another system.
After saving, open the client to add a new job, add a new work site, or connect existing ones. Jobs identify what an employee's time was for. Work sites identify where the work happened.
How client time is recorded
Employees select a job when they clock or enter time. Clockspot uses the client assigned to that job for client reporting. Employees do not select a client separately, which avoids recording a job for one customer and a client for another.
Schedules follow the same rule. Managers choose the job and optional work type for a shift, and Clockspot shows the job's client as context rather than asking for a second client selection.
The Job Hours report can group and filter worked time by client. A job without a client appears under (No client) in the client view.
QuickBooks Online
When you connect QuickBooks Online, you can match a Clockspot client to a QuickBooks customer. Time for a job uses that client match unless the job has its own QuickBooks customer choice.
Archiving and history
Archive a client when you no longer need it for new work. Its existing jobs, time entries, shifts, and report history remain intact.
Once a job has time or schedule history, its client cannot be changed. This keeps older reports and accounting exports attributed to the same customer. Create a new job when future work belongs to a different client.
Common questions
- Why can't I move a job to another client?
The job already has time or schedule history. Keeping its client fixed prevents historical reports and accounting exports from changing. Create a new job for future work under the other client.
- Does a work site decide which client receives the time?
No. Client reporting follows the job on the time entry. A work site's client helps organize the place, but it does not rewrite time attribution.
