Work types are optional, reusable service, task, or accounting categories within a job. They add detail when a job alone is not specific enough.
For example, a landscaping job could offer Mowing, Irrigation, and Cleanup. A customer who only needs hours by job can leave work types unused.
Set up work types
Open Settings, choose Work types, and select Add work type. Enter a clear name and, if useful, a code that matches another system. Then edit each job that should offer that work type.
An employee can select only work types assigned to the chosen job. Changing the job clears a work type that no longer applies.
Where work types appear
Employees can choose an optional work type from the Time Clock or kiosk after choosing a job. Managers can also add or correct it on time entries and use it on scheduled shifts. Phone clocking remains job-based because work types do not have their own numeric phone codes.
The Job Hours report can group and filter time by work type. Time recorded without one appears under (No work type) in the work-type view.
QuickBooks Online
When you connect QuickBooks Online, you can match a work type to a QuickBooks service item. That match takes priority over the job's service item and the company default for time that uses the work type.
Archiving
Archive a work type to remove it from new selections. Existing time and schedule history keeps the work type name for reporting. Jobs and time entries that do not need the extra detail can continue without one.
Common questions
- Do employees have to select a work type?
No. Work types are optional. Employees can record time to the job without choosing one unless your own process requires the extra detail.
- Why isn't a work type available after I choose a job?
Edit the job and make sure that work type is assigned to it and both records are active.
