What this report shows

Schedule Coverage answers one operating question: Where does published work still need staffing or confirmation? A published shift is Staffed when it has an employee assigned and no unresolved can’t-work report. Staffing stays separate from confirmation: a shift can be staffed but awaiting confirmation, and a confirmed employee can later report that they can’t work.

The three totals show Staffed, Need coverage, and Awaiting confirmation. Staffed includes the required-work denominator, such as 93 of 94 shifts. Each daily row keeps the workload context—Required and Staffed shifts and hours—beside a Needs attention column. That column shows only actions still waiting: coverage gaps, confirmations, or pending shift requests. It stays empty when the date needs no action.

How coverage is counted

  • Required is published work that needs one employee. Drafts do not count.
  • Staffed is published work with an employee assigned and no unresolved can’t-work report.
  • Need coverage includes ordinary open shifts and assigned shifts where the employee has said they can’t work.
  • A replacement open shift and its still-assigned original represent one requirement, so they are counted once in Required and Need coverage.
  • Awaiting confirmation includes only assigned shifts that currently require confirmation and have not acknowledged the current published version. When no included shift requires confirmation, the total says Not required.
  • Pending requests appear under Needs attention so a manager can review employees who have asked to cover an open shift.

Confirmation acknowledges the current schedule. It does not mean the employee attended, clocked in, or completed the work. Use Schedule vs Actual after work occurs.

Filters

Use the date range, client, and work type controls to focus on the work you manage. Client attribution comes from each shift's job. No client and No work type include scheduled work without that optional detail.

Working from the report

This report is read-only. Open Schedule to publish an open shift, review requests, or resolve a can’t-work report. The report does not expose employee notes or private work site addresses, so an Administrator can safely use its aggregate facts during support troubleshooting.

Exporting and scheduled delivery

Open Export to download CSV, Excel, or PDF. Exports include the focused staffing totals and one row per schedule date: Required, Staffed, Need coverage, Awaiting confirmation, and Pending requests. You can also add Schedule Coverage from Scheduled Reports when a recurring email summary is useful.

Common questions

Why can assigned shifts still need coverage?

An employee may have reported that they can't work. Clockspot preserves the original assignment until a manager resolves it, but counts the work as uncovered in the meantime.

Why doesn't a replacement add another required shift?

A linked replacement open shift mirrors one still-assigned shift. Clockspot counts that pair as one staffing requirement so the replacement process does not double the work that needs coverage.

Does a 100% confirmation rate mean everyone worked?

No. It only means each included confirmation-required shift was acknowledged for its current published version. Attendance comes from recorded time.
