Set up shift-to-shift notes, understand when employees see and confirm them, and keep manager follow-up moving without losing the history.

Turn on Handoffs when employees need to pass practical notes from one shift to the people who work at the same place next. Notes stay tied to a Work Site, or to a Job when that job has no work sites.
Turn Handoffs on
Open Settings, choose Handoffs, and press Turn on Handoffs. Writing a note remains optional and never holds up a clock-in or clock-out.
Turning Handoffs off removes the writing option from the Time Clock. Notes already sent remain in Handoffs history.
Leave a note
An employee can press Handoff on the Time Clock or open My Handoffs while clocked in at a place that can receive notes.
- Enter Your note.
- Optionally press Add photo. A note can have up to four photos.
- Turn on Ask your manager to look into this when the note needs action.
- Press Save note on the Time Clock or Leave note in My Handoffs.
There is one handoff per shift. Until clock-out, the employee can open Handoff again or press Change note in My Handoffs to revise it. Clock-out sends the saved version and ends editing.
Read and confirm a note
After an employee clocks in at the same place, Clockspot can show unresolved notes sent there during the previous seven days. A note is shown to each eligible employee once, after their clock-in is already recorded.
Employees can also open My Handoffs to read recent notes at places they have worked. Pressing Got it records an explicit confirmation. Opening or being shown the note records that it was seen, even without confirmation.
Review history and follow-up
Open Handoffs to review sent notes across every place. Use Search handoffs and the place, Date written, employee, or status filters to narrow the history. Open Who has seen it to distinguish employees who were shown a note from those who confirmed it.
A note marked Flagged for a manager stays in Inbox until an authorized manager presses Mark handled. While the note remains in My Handoffs, the employee who wrote it can mark it handled there too. Handling a note stops future clock-in delivery and removes its Inbox item, while the note and its read history remain available in Handoffs.
Common questions
- Why hasn't a saved handoff reached the next shift?
The note is sent only after its writer clocks out. It must also belong to the same Work Site, or to the same site-less Job, where the next employee clocks in.
- Can an employee change a handoff after clock-out?
No. Clock-out sends the saved note and ends editing. The employee or an authorized manager can still mark the note handled.
- What happens to notes after seven days?
They stop appearing in employee clock-in delivery and My Handoffs. Managers can still find them in Handoffs history, and a flagged note stays in Inbox until someone marks it handled.
