Running payroll

The path from a closed pay period to numbers you can hand to your payroll provider.

Clockspot records and totals hours; you export them into whatever payroll system you already use. There's no separate "run payroll" button — the flow is approve, check, review, export.

1. Approve the period

Make sure every timesheet for the pay period is approved. Unapproved hours can still change, so don't pull numbers from a period that isn't closed.

2. Check pay settings

The totals are only as right as the setup behind them:

  • Each employee needs their pay set on Compensation.
  • Each paid job needs its pay set. Add a job-specific hourly rate when that job should override the employee's rate.
  • Mark each time off type as paid or unpaid so hours land in the right column.
  • Overtime follows your rules — see How overtime works.

3. Review the numbers

Open Reports, then choose Payroll Summary for the period. It breaks down paid work, overtime premiums, paid and unpaid time off, unpaid work, and gross pay for each employee, with line details under each row.

4. Export

When the visible rows are complete, use the report's Export menu — Download CSV, Copy to clipboard, or Print — then import into your payroll provider. If a row says Needs review, fix the employee or job pay first.

Common questions

Does Clockspot send hours to my payroll provider directly?

Not currently. You export the Payroll Summary as CSV (or copy it) and import it into your provider.

Someone's pay looks wrong on the report.

Open their row details in Payroll Summary. If the wrong rate was used, correct the employee's pay on Compensation or the job's pay on Jobs. If the overtime split looks wrong, review How overtime works.

Can I run payroll mid-period?

You can export any date range, but the warning on the Payroll Summary applies: only an approved period is final.
